This Privacy Policy explains how Traden AI Ltd ("Traden", "we", "us" or "our") collects, uses, shares and protects personal data. It applies to our website at traden.uk, our early-access waitlist, and the Traden service, which helps trade businesses manage their customer enquiries, bookings, invoices and follow-ups — including messages handled over email, SMS and WhatsApp.
Who we are. Traden AI Ltd is a company registered in England and Wales (company number 17270034), with its registered office at 18 Chaffinch Close, WS12 1UH. We are the "data controller" for the personal data described in this policy, except where we act as a "processor" on behalf of a trade business (see "Data we handle on behalf of trade businesses" below).
1. The data we collect
Information you give us
- Waitlist & enquiries: your email address (and any message you send us) when you sign up for early access or contact us.
- Account & business details: if you become a Traden user, your name, business name, contact details and the settings you configure.
- Communications: the content of messages you exchange with us by email, web form, SMS or WhatsApp.
Information we collect automatically
- Technical data: IP address, browser and device type, and basic usage information when you visit our website.
- Cookies: a small number of cookies needed to run the site and, where used, to understand traffic. See "Cookies" below.
2. How we use your data, and our legal basis
Under UK GDPR we rely on the following legal bases:
- Consent — to add you to our early-access waitlist and email you about Traden's launch. You can withdraw consent at any time by unsubscribing or emailing us.
- Contract — to provide the Traden service to you once you become a user, and to manage that relationship.
- Legitimate interests — to operate, secure and improve our website and service, and to respond to your enquiries, in a way that does not override your rights.
- Legal obligation — to comply with our legal and regulatory duties, such as accounting and tax.
3. Data we handle on behalf of trade businesses
When a trade business uses Traden, the service processes information about that business's own customers — for example a customer's name, contact number, message content and job or booking details — so that enquiries can be answered, jobs booked and follow-ups sent.
For this data, the trade business is the data controller and Traden acts as a data processor, handling the data only on that business's instructions and under a data processing agreement. If you are a customer of a Traden user and have a question about your data, please contact that business directly; we will support them in responding to you.
4. WhatsApp and messaging
Traden uses the WhatsApp Business Platform, provided by Meta Platforms, to send and receive messages on behalf of trade businesses. When messages are sent or received through WhatsApp, they are processed by Meta in accordance with its own terms and privacy policy. This may include the phone numbers involved and the content of the messages. Your use of WhatsApp is also subject to WhatsApp's Privacy Policy and Meta's Privacy Policy. We use WhatsApp only to communicate about enquiries, bookings, quotes, invoices and related service messages.
5. Who we share data with
We do not sell your personal data. We share it only with trusted service providers who process it on our behalf, under appropriate contracts, including:
- Hosting & forms — our website and waitlist form are hosted on Netlify.
- Messaging — Meta Platforms (WhatsApp Business Platform) for WhatsApp messaging.
- Email — our email provider for sending and receiving email.
- Analytics — where used, to understand how our website is performing.
We may also disclose data where required by law, to protect our rights, or in connection with a business sale or reorganisation.
6. International transfers
Some of our providers, including Meta, are based outside the UK. Where personal data is transferred outside the UK, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or Addendum, or an adequacy decision, to ensure your data remains protected.
7. How long we keep data
We keep personal data only for as long as we need it for the purposes set out in this policy, or as required by law. Waitlist data is kept until you unsubscribe or ask us to delete it. Service data is kept for the duration of the relationship and a reasonable period afterwards, then deleted or anonymised.
8. Your rights
Under UK data protection law you have the right to: access your data; have it corrected or erased; restrict or object to its processing; data portability; and to withdraw consent at any time. To exercise any of these, email admin@traden.uk.
You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk, though we'd appreciate the chance to resolve any concern first.
9. Cookies
Our website uses only the cookies necessary to function and, where enabled, to measure traffic. We do not use cookies to advertise to you. You can control cookies through your browser settings.
10. Security
We take appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access. No method of transmission over the internet is completely secure, but we work to safeguard your information.
11. Children
Traden is intended for businesses and is not directed at children. We do not knowingly collect personal data from anyone under 18.
12. Changes to this policy
We may update this policy from time to time. When we do, we'll revise the "last updated" date above, and significant changes will be made clear on this page.
